Info and Frequently Asked Questions:
Self-Repped Artists:
- You must be an APCA Member prior to submitting conference applications.
- A minimum purchase of one Delegate Pass and one Booth is required if accepted to attend..
- If applying to Showcase, no fees are required until after showcase acceptance! Showcase Applications may be submitted for:
- Meal Showcase (10 minute)
- Non-Meal Showcase (10 minute)
- Conference Keynotes (varies, typically 20 minutes)
- Novelty Roving Showcase (during Exhibit Halls, Registration, Breaks, etc.)
- Educational Session Proposals can be submitted by any registered speakers at no additional charge. Ed Sessions are not guaranteed and are placed based on relevance of topic and availability. Topics may include student development, personal and professional leadership skills, programming effective events on campus, marketing events, student organizations, health and wellness, team building, etc.
- Ed Sessions are 50 minutes in length and are for the educational development of our students and professional delegates. These sessions are not for sales pitches, demos, etc.
Agencies:
- Your Agency must be an APCA Member prior to submitting conference applications.
- A minimum of one Exhibiting Agent (one Delegate Pass and one Booth) is required per Agency.
- One Booth is required for EACH Showcasing Artist. Showcase Applications may be submitted for:
- Meal Showcase
- Non-meal Showcase
- Conference Keynotes
- Novelty/Roving Showcase
- An Agency’s Showcasing Artists are not required to purchase a Delegate Pass if they only want to attend their specific showcase and Exhibit Halls. However, Delegate Passes may be purchased for Showcasing Artists, Speakers, Assistants, etc who want full access. Delegate Passes include all conference meals and are required for entrance into all Showcases and Conference Events.

BOOK HOTEL
You must make reservations at the host hotel under the APCA (Association for the Promotion of Campus Activities) block to attend this event.
REGISTRATION IS NOW OPEN
Placements and acceptance notifications will begin on November 3. NO payment is required until AFTER showcase acceptance! (Payments must be received by 10 days following showcase notification or showcase spot may be forfeited.)

APCA Block Deadline February 3, 2026
**All Associates MUST MAKE RESERVATIONS AT THE HERSHEY LODGE UNDER THE APCA BLOCK. Please do NOT make reservations via travel booking sites such as Expedia or Priceline, etc. or you will not be in the block. Make reservations as indicated below.

APCA Block room rate is $244 + 11% tax per night.
RECOMMENDED CHECK-IN: Wednesday, March 4, 2026
RECOMMENDED CHECK-OUT: Sunday, March 8, 2026
Reservations are required for all Attendees. Guest rooms will be available after 4:00 PM on the date of each attendee’s arrival and reserved until 11:00 AM on the date of each attendee’s departure.
Late Departures: Departures after 11:00 AM will be charged half the then-current room rate until 4:00 PM. After 4:00 PM, the full then-current room rate applies. Attendees may store their luggage at the LODGE’s front desk after checkout, if necessary. LODGE reserves the right to charge a $50.00 fee for all early departures
No Shows: LODGE will charge for one (1) night at the Group Rate, plus applicable taxes, for any no-shows (“No-Show Fee”). The No-Show Fee will be included when calculating Guest Room Attrition Fees.
Cancellations: Any cancellation occurring less than 72 hours prior to arrival will be charged one night’s room and tax.
The Hershey Lodge Reservation Office is open Daily, Monday – Sunday, 8:00am – 8:30pm
