AGENCIES AND SELF-REPRESENTED ARTISTS MUST BE APCA MEMBERS TO ATTEND.

 

Info and Frequently Asked Questions:

 

Self-Repped Artists:

  • You must be an APCA Member prior to submitting conference applications.
  • A minimum purchase of one Delegate Pass and one Booth is required.
  • If applying to Showcase, no fees are required until after showcase acceptance! Showcase Applications may be submitted for:
    • Meal Showcase (10 minute)
    • Non-Meal Showcase (10 minute)
    • Conference Keynotes (varies, typically 20 minutes)
    • Novelty Roving Showcase (during Exhibit Halls, Registration, Breaks, etc.)
  • Educational Session Proposals can be submitted by any registered speakers at no additional charge. Ed Sessions are not guaranteed and are placed based on relevance of topic and availability. Topics may include student development, personal and professional leadership skills, programming effective events on campus, marketing events, student organizations, health and wellness, diversity, etc.
    • Ed Sessions are 50 minutes in length and are for the educational development of our students and professional delegates. These sessions are not for sales pitches, demos, etc.

 

Agencies:

  • Your Agency must be an APCA Member prior to submitting conference applications.
  • A minimum of one Exhibiting Agent (one Delegate Pass and one Booth) is required per Agency.
  • One Booth is required for EACH Showcasing Artist. Showcase Applications may be submitted for:
    • Meal Showcase
    • Non-meal Showcase
    • Conference Keynotes
    • Novelty/Roving Showcase
  • An Agency’s Showcasing Artists are not required to purchase a Delegate Pass if they only want to attend their specific showcase and Exhibit Halls. However, Delegate Passes may be purchased for Showcasing Artists, Speakers, Assistants, etc who want full access. Delegate Passes include all conference meals and are required for entrance into all Showcases and  Conference Events.
    **Conference Meals are included for full Delegates ONLY!

SUBMIT YOUR SHOWCASE APPLICATION

After you review the options and details below, complete the Showcase Application. NO APPLICATION FEES! You won't be charged until after Showcase Approval!

STEP 4

BOOK HOTEL

ALL Associates (Agents, Self-Repped Artists, Showcasing Artists, Vendors, Etc.) are REQUIRED to make reservations at the host hotel under the APCA (Association for the Promotion of Campus Activities) block to attend the event.

CONFERENCE DETAILS AND SHOWCASE OPTIONS

DELEGATE PASS FEES

Early bird (May 1 – Nov 1, 2024): $349

Regular Registration (Nov 2 -Sold Out): $399

1) A minimum of ONE EXHIBITING ASSOCIATE (one Delegate Pass and one Booth) is required for an Agency or Self-repped Artist to attend the conference. 
2) Additional Delegate Passes may also be purchased for additional Showcasing Artists, Speakers, Assistants, etc. who want full conference access. Delegate Passes include all conference meals, and are required for entrance into all Showcases and  Conference Events.
**Conference Meals are included for Delegate Pass Holders ONLY!

BOOTH FEES

$799

A Booth is required for each Showcasing Act. Booths will be set up in Exhibit Halls that have dedicated attendance times for all College and Talent Buyer delegates!

Booth Details:

6′ deep by 8′ wide

Back wall: pipe & drape, 8′ high

Side wall: pipe & drape, 3′ high

Includes: 1 6′ table, 2 chairs, 1 wastebasket, and an identification sign.

 

 

SHOWCASE OPTIONS & FEES

-Conference Keynote:

-Meal Showcase:
(Bands must perform in Meal Showcases)

(Typically reserved for speakers, solo artists, etc.)

-Roving Novelty:

(Recommended for novelties that can be set up in Exhibit Halls, in the lobby during Registration, Breaks, Novelty Fairs, etc.)

-Booth Electricity:

Booth Electricity can be purchased from APCA for $99 per drop (120v, 20 amp) for each conference.

** Electricity pricing covers ALL Exhibit Halls at the Conference

-Booth Demo:

(Non-musical artists who wish to do demos during Exhibit Halls at their booths. Magicians, painters, jugglers, etc.)

-Novelty Assistant Operator Pass: 

$50

(May not be an agent, artist, or talent representative. Only permitted to assist during scheduled novelty times/Exhibit Halls)

Premium Packages are limited! They include:

  • Guaranteed Premium Showcase Placement

  • Half-Page Ad in Conference Program

  • Side Screen Ad (runs throughout conference)

  • Preferred Booth Placement in Exhibit Hall

**Artist provides all Ads and Bag Drops, with APCA approval required. Items not received on time and in the proper format will be forfeited.
