School FAQ's

Website Questions

Logon to your account, go to  the Membership page and select school  and click Join or Renew button. 

Go to the Upcoming Event page and choose the event you would like to register for and click the Register button.

Schools can register as non-member for a higher price. 

 

APCA takes our members’ privacy very seriously. APCA will generally not share any online booking requests, interest in a product or other information meant to be considered private between two parties.  APCA does allow listings of all members to be made available to the APCA membership, but we discourage and monitor over spamming. APCA will never give out student information, in adherence with FERPA policies. View Privacy Policy.

Under Resources, on the main menu, select Virtual Programming from the drop-down menu.

Each conference venue will be listed on the corresponding event page at www.apca.comSimply call the hotel listed and tell them you are attending the APCA conference to get the APCA room rate. ALL REGISTERED ARTISTS AND AGENTS MUST BE REGISTERED GUESTS AT THE CONFERENCE VENUE.

APCA registration areas are usually set up near the general session ballrooms. Look for the signs that point to the registration area, or any APCA staff personnel can point it out for you.

An early registration desk usually opens the evening before the start of the conference. Normal registration begins at 8 am every day and ends when the conference activities are over for the day.

We always provide a map in our conference programming guide. You may also ask the front desk for a map. 

Your booked shows using the APCA booking interest forms are covered by APCA grievance policies, and only APCA associate members who have agreed to sensitivity, ethical conduct and adherence to those grievance policies are allowed to participate.  If you have a problem with an event booked through the APCA  booking form system, we will stand with you to get it resolved, quickly and efficiently.

Virtual Conference Questions

Many artists aren’t listing rates, since the artists are not all using a common revenue collection method. Some are charging a fee and giving prices, some are putting out virtual tip jars at stageit.com, and some are simply giving the online show away or offering it in exchange for a rebooking in the fall.  Contact them to find out what their current deal is, and don’t be afraid to negotiate.

APCA recommends a variety of streaming, recording and meeting solutions in our virtual toolbox area. Please refer to that area to see the latest best practices in simple, effective online software and solutions, many of which are free to use!

APCA will be hosting various webinars and posting instructional videos on how to present effective, engaging solutions for your virtual campus population.  Additionally, our professional development library for campus activities advisors will be constantly updated and will provide more solutions daily. Please check the APCA website and our social media often to see the most current information for your online and live programming efforts. 

Demo videos can be viewed on each artist profile page. Remember that these are demo videos, not necessarily representative of their online show experience, which is usually a much more intimate setting. If you are looking for an actual, unedited live showcase, please refer to the virtual online showcase area..

Of course.  The beauty of online programming is that one artist can be in many, many locations at the same time, LIVE. But if you want to arrange for an online show NOW and a later date virtual show, you can reach out to the agent with an online booking form and inquire about bundling that package as well.

Associate FAQ's

Website Questions

Logon to your account, go to  the Membership page and select either Self-Represented Artist or Agency and click Join or Renew button. 

Go to the Upcoming Event page and submit a showcase application. If you are approved, you will invoiced via email for all charges. 

Associates must be active members to register and their artist information should be filled out on their account page.  

Agencies must have the artist listed on their roster prior to submitting showcase applications.

All artist must have a demo video, headshot, and video on their account page (roster) to be approved for a showcase.  

For Associates Only.

Go to the Upcoming Event page and select the event you are attending, Click "Register" button or scroll down the page until you see the Showcase Application button, click on button and register for showcase. Once approved, you will be able to come back to same location and submit for Ed Sessions, Keynotes, or Leadership Blocks also. 

Note: Your application will have to be approved in order to perform in any way at our conferences. You will be sent a notification letting you know if you were approved to perform. 

Associates/Agencies: You must be active members and approved to attend the event before you can submit a performance application.

We try to approve showcase application as soon as possible. You should hear from us within 72 hours of submission. You may call the office if you have not received an approval email after the 72 hour time frame. The office number is 865.429.9123.

If your showcase, keynote, ed session or leadership block application was not initially accepted, call our office for further instructions. Our office number is 865.429.1923.

To change your bio information, logon and go to your account page and click the tab that reads "Artist Info" and make changes here. 

For Agencies: Go to your account, click the Artist Roster tab, scroll to the artist and click the Edit button.

If you have already been approved for a showcase, please let our office know if you are making a change that you want to appear in the conference programming guide. Call the office at 865.429.9123 and ask for Associate Services.

Upon registration you will receive information on your sound check date(s) and time(s).

Live Conferences:

Option 1: Go to Resources, on main menu, select Artist Search, and then your Genre, click on your photo to view your profile

Option 2: Go to the Event you registered for and select the Genre, you should see your headshot and name in the list, click and view your profile.

Note: In order to view your profile in an event, you must be approved to showcase at that event

Virtual Conference Questions

To submit an artist/attraction, go to Virtual Associate Resources, on the main menu, and from the drop-down menu select Submit Artist/Attraction or you may go directly to the submission form here. 

The only price that shows on your profile is your Standard Isolated Price. Rates will be listed on your showcase application and then published in the programming guide for the conference and on our conference app. We do not list those prices online due to the prices changing from conference to conference

In the Upcoming Events area, click on the Event and then submit a showcase application. Once you are approved to showcase at that event, you will be invoiced via email. You may call our office or email billing@apca.com to make payment arrangements. 

Virtual Conferences:

Go to Resources, on main menu, select Virtual Programming and Click on View Artist by Genre, find your genre and you should see your profile headhot, click to open your bio.
