The Association for the Promotion of Campus Activities invites all speakers, leadership facilitators, novelty vendors, and showcasing artists to apply to present a showcase, keynote, or workshop/educational session at the annual summer leadership event for College and University Student Activities Boards and their Advisors. Relevant topics include leadership skills, student engagement and student success, event promotion and marketing, diversity and inclusion, and any other topics that are relevant and educational for the Student Activities and Event Planning population. Each delegate receives a ticket to the Broadway Musical, Hamilton!
We invite Agents, Speakers, Vendors, Novelty Acts, and Showcasing Artists to join us in Times Square. Associate packages are listed below. Please read carefully to determine which package fits your needs.
NO PAYMENT IS DUE UNTIL AFTER CONFERENCE ACCEPTANCE! Space is limited at this event, so we encourage you to apply early.

Upon approval notification, you will receive an invoice for your conference package. Remit payment within 10 days or forfeit your placement and attendance at the conference.
Speaker / Vendor Table Top Package:
This is recommended for speakers who would like to present ed sessions, vendors who wish to display imprint items, represent speakers or artists, etc. No roving or booth demos are allowed at these tables.

A keynote spot to be delivered to either attending students or attending advisors for speakers with relevant messages regarding the Leadership on Broadway teaching curriculum tracks. Limited number available, must be approved by APCA for acceptance. Keynote placement preferences assigned in order of submission.

APCA Cooperative Buying is a program that gives the schools attending APCA conferences the ability to merge their buying power, offering performers/speakers a block of dates in a specified time period (for live events) in exchange for a lower price and sharing of travel costs (when applicable) with other schools. Cooperative Buying blocks are set up as follows:
For In-person Events: Isolated – A single isolated date, 2 events in 3 days, 3 events in 5 days, 5 events in 7 days
For Virtual Events: Isolated – A single isolated date, and Additional Discounts are negotiable for multiple schools booking together.

Associates are APCA member Agencies, Artists, Performers, Speakers, and Showcasing Attractions. All exhibiting Associates are bound by APCA ethics and sensitivity guidelines. During designated Exhibit Hall hours, you have the opportunity to visit the booths of your favorite performers. They can answer questions, explain rider and contract terms, and generally give you all the information you need to book an artist or vendor for your campus event. Exhibit Halls are the place to go for meet and greets, fun novelty activities, and tons of free artist swag!

**It is important that all attendees make their reservations at the Hershey Lodge UNDER THE APCA (Association for the Promotion of Campus Activities) BLOCK. APCA Block room rate is $214 +tax per night. Hershey Lodge block cut-off date is Feb 6, 2023.
RESERVATION METHOD: Reservations are required for all Attendees. Guest rooms will be available after 4:00 PM on the date of each attendee’s arrival and reserved until 11:00 AM on the date of each attendee’s departure. Reservations will be made as follows:

ADDITIONAL INFORMATION:
Late Departures: Departures after 11:00 AM will be charged half the then-current room rate until 4:00 PM. After 4:00 PM, the full then-current room rate applies. Attendees may store their luggage at the LODGE’s front desk after checkout, if necessary. LODGE reserves the right to charge a $50.00 fee for all early departures
No Shows: LODGE will charge for one (1) night at the Group Rate, plus applicable taxes, for any no-shows (“No-Show Fee”). The No-Show Fee will be included when calculating Guest Room Attrition Fees.
Cancellations: Any cancellation occurring less than 72 hours prior to arrival will be charged one night’s room and tax.
